How to use this checklist
Don’t try to do it all in a weekend. Pick one section per week. The order below is intentional: stopping new paper coming in (Section 1) gives you the fastest relief and makes everything else easier.
1. Stop the paper inflow

Pick one primary cloud (iCloud, Google Drive, OneDrive, or Dropbox) Pick one document scanner app and learn its basics Set up a password manager (if you don’t already have one) Designate one email as your “financial accounts” address Create a “Paper Landing Zone” tray near the door

3. Scanning & filing
Build the 5 top-level folders (Finance, Home, Medical, Personal & Family, Auto) Adopt a file-naming convention: YYYY-MM-DD_what-it-is_who.pdf Sort one paper stack into Keep / Scan / Shred / Recycle Scan everything in the Scan pile, named and filed properly Shred everything in the Shred pile (cross-cut shredder) Recycle everything else Repeat with one stack per week until you’re caught up

4. Automation

5. Backups & safety
Confirm your documents folder is syncing to your primary cloud Set up an offsite backup (Backblaze, or external drive stored elsewhere) Verify all critical documents are included in the backup Do one test restore to confirm the backup actually works Store originals of “keep forever” docs in a fireproof box or safe-deposit box
